The Gap
Two Channels, One Task
Regulated maintenance runs on pairings: this procedure, with that software build. The manual says the task requires version 1.0.2 — approved, certified, tested together. But the documents live in one channel and the binaries in another: a portal, a shared drive, an email from support. The technician reads in one system and hunts in a second, and every hunt is a chance to install the latestversion when the procedure was certified against a specific one. In fields where a wrong load has real consequences, “go find the file yourself” is a configuration-control hole wearing a process costume.

The mechanism falls out naturally once documents live on a content services platform: if publications are managed, versioned, permission-scoped objects, other artifacts can be too. The software build becomes an associated item of the publication — carried with it, superseded with it, scoped by the same access model, logged by the same events pipeline. The technician clicks the version the procedure names and gets that version; the audit trail records who took which build from which document; and withdrawal actually works, because there is no copy on a share drive to outlive the recall — the same property that makes controlled documents controllable.
The general lesson reaches well past aerospace: once your document platform is real, it becomes the natural channel for everything documents point at — configuration files, calibration data, drawing packages, the archives too big for the CMS to swallow. “Publishing” and “distribution” stop being different departments' problems and become one governed pipeline. What does version-matched distribution actually mean?
The procedure that says 'this task requires software version 1.0.2' carries the artifact itself: the technician clicks the reference inside the document and receives exactly that build — not the latest, not whatever a shared drive happens to hold, but the version the approved procedure names. Document and deliverable are bound together by the platform, so following the manual and obtaining its prerequisites are one action.
Why does the pairing matter so much in regulated work?
Because the procedure and the software version were certified together. An avionics load, a test-equipment build, a configuration file — each is approved in the context of a specific documented task, and 'latest version' can be exactly wrong. Separating the two channels (documents here, binaries on some portal there) is how a current procedure meets a mismatched build. Binding them makes the correct combination the path of least resistance, with the audit trail recording who downloaded which version from which document, when.
Doesn't this belong in a software distribution tool instead?
The binaries could live anywhere; the point is where the technician starts — inside the procedure. A dedicated distribution tool knows versions but not tasks; the manual knows tasks but traditionally can't deliver files.
